A copy, never your originals.
First, we agree on the project and give you a signed confidentiality undertaking. Only then do you send us a copy of your documents; your servers, files and tools remain untouched. What you entrust to us is used only for your project, and for nothing else: never shared, never reused elsewhere, never used to train an AI.
A diagnostic first.
We take stock of what your archives contain — formats, volumes, duplicates, unreadable files — and test the conversion on a sample, deliberately choosing the most difficult documents. You receive an honest report: what works, what does not, what the next stage would require. A negative conclusion is a valid result.
Stage by stage, each one validated before the next.
A pilot on a first real batch, then conversion in batches, then structuring: classification, links between documents, index. You never commit beyond the current stage, and you know the price of each stage before saying yes.
A knowledge base in open text files.
Your memory is built in files that any human, piece of software or AI can read — not in a supplier's closed format. In three, five or fifteen years, whatever the tools of the day, it will remain usable. It belongs to you.
Then the AI Agent moves in.
It answers from this memory, and only from it: no source, no answer. It cites the original document. You stay in control and see what it does. And once everything suits you, the memory connects to your day-to-day work: your new documents are added as you go, at your pace, without ever touching your originals.
As a rule, allow 4 to 6 months for a first usable memory, depending on the volume and complexity of your documents; the rest is added afterwards, stage by stage, at your own pace.
